Privacy Policy
This Privacy Policy explains what personal information is collected when you use the site, why, and what your rights are. It applies to OnlineWorker Library (librarian.onlineworker.online), operated by Herman Ngugi from Nairobi, Kenya (“I”, “me”, “my”). It covers the three OnlineWorker sites: onlineworker.online, studio.onlineworker.online and librarian.onlineworker.online.
1. Who is responsible
I am the data controller for information collected through these sites. Email ngugiherman18@gmail.com or call/WhatsApp +254 795 107 114. Please use these details for any privacy request.
2. What I collect
Information you give me. This site offers the proposal request form. When you send it, the details you type (your name and title, organization, email address or phone number, the path and scope you choose, and your description) are delivered to me through Web3Forms. You can also choose WhatsApp, email, phone or a Calendly booking instead. Depending on what you use, that can include your name, organization, email address, phone or WhatsApp number, your location or business details, and whatever you write in your message.
Information collected automatically. Like any website, the hosting service sees technical data when a page is requested: your IP address, browser and device type, the page requested, the referring page and the time. Vercel Web Analytics turns this into aggregate statistics (such as page views and countries). It is designed not to use cookies or to track you across other sites.
Which OnlineWorker site sent you. When you follow a link between my sites it carries a short tag such as ?src=studio. I use it to see which site an enquiry came from. It may be held in your browser’s session storage until you close the tab.
3. Why I use it, and on what basis
- To reply to your enquiry, prepare a quote or proposal and deliver the work you ask for (steps taken at your request, before and under a contract).
- To keep the sites working, secure and understood, using anonymous statistics (my legitimate interest in running the sites).
- To keep records I need for tax, accounting and legal reasons (legal obligation).
- Where I rely on your consent, for example ticking a box or choosing to send a form, you can withdraw it at any time.
I do not sell your information, and I do not use it for automated decisions or profiling.
4. Who else sees it
I use a small number of service providers to run these sites. They process information on my behalf or on your request:
- Web3Forms (form delivery): receives what you type into my forms and passes it to my email inbox.
- Vercel (hosting and web analytics): serves the site and records anonymous page-view statistics.
- Google Fonts: your browser fetches the typefaces from Google when a page loads, which shares your IP address with Google.
- Email provider (Gmail): where enquiries and replies are stored once they reach me.
- WhatsApp (Meta): only if you choose to message me there; its own privacy policy then applies.
- Calendly: only if you book a call; it collects the details you enter and may set its own cookies.
I may also disclose information if the law requires it. Some of these providers are based outside Kenya, so your information may be processed in other countries. I choose providers that publish their own privacy and security commitments.
5. How long I keep it
Enquiries that do not lead to work are kept for up to 24 months so I can follow up if you come back, then deleted. If we work together, project records and invoices are kept for as long as tax, accounting and contract rules require. Anonymous analytics are kept by Vercel under its own retention rules.
6. Security
Sites are served over HTTPS and enquiries are held in a password-protected email account. No system is perfectly secure, so please do not send passwords, card numbers or other highly sensitive information through the forms.
7. Your rights
Under the Kenya Data Protection Act, 2019, you may ask me to tell you what I hold about you, correct it, delete it, restrict or object to how I use it, and to withdraw consent you have given. Email me and I will respond within the time the Act allows. If you are not satisfied, you can complain to the Office of the Data Protection Commissioner of Kenya (odpc.go.ke).
8. Children
These sites are for businesses, organizations and adults. I do not knowingly collect information from children. If you think a child has sent me information, tell me and I will delete it.
9. Links to other sites
Pages may link to other sites (for example WhatsApp, Calendly or social media). I am not responsible for their privacy practices; please read their policies.
10. Changes
If I change how I handle information I will update this page and the date at the top. Material changes will be flagged on the relevant form or page.
11. Contact
Email ngugiherman18@gmail.com or call/WhatsApp +254 795 107 114.
